Privacy Policy
This policy explains what information NexGrant AI collects, how we use it, and the choices you have — in plain language, because you shouldn’t need a lawyer to understand what happens to your data.

1. Who we are
NexGrant AI is a product of NexGenix AI LLC, an Ohio limited liability company based in Cincinnati, Ohio. NexGenix AI LLC (“NexGrant,” “we,” “us”) is the controller of the personal information described in this policy, and NexGrant AI is a grant application completion platform. We help organizations identify grants they qualify for, prepare complete application packages, and submit them to funding agencies. This policy applies to our website, our platform, and our communications with you.
2. Information we collect
Information you give us
- •Contact information — name, email address, organization, and phone number if you provide it.
- •Organizational information — details needed to determine grant eligibility and prepare applications, which may include your legal name, identifiers (such as UEI or EIN), addresses, leadership, budget and financial information, program descriptions, and supporting documentation.
- •Application content — the narratives, budgets, attachments, and other materials created for or provided in connection with your grant applications.
- •Communications — messages you send us and our correspondence with you.
Information we collect automatically
- •Usage data — how you interact with our website and platform, including pages visited and features used.
- •Device and log data — IP address, browser type, operating system, and timestamps.
- •Cookies and similar technologies — see Section 8.
Information from other sources
To determine eligibility and prepare accurate applications, we may use information about your organization from public and licensed sources, such as public records, IRS filings, government registries, and grant databases. This is information that is already publicly available or lawfully licensed.
3. How we use your information
We use your information to:
- •Identify grant opportunities your organization qualifies for;
- •Prepare, check, and submit grant application packages on your behalf;
- •Provide, maintain, and improve our platform and services;
- •Communicate with you about your account, applications, and our services;
- •Send you marketing communications, which you can opt out of at any time;
- •Comply with legal obligations and enforce our terms;
- •Detect, prevent, and address security issues, fraud, or abuse.
4. How we share your information
We share information only as needed to run our service:
- •With funding agencies — when you authorize a submission, we transmit your application package to the relevant agency (such as through Grants.gov). This is the core purpose of the service.
- •With service providers — vendors who help us operate, such as hosting, infrastructure, customer relationship management, analytics, and communications providers. They may only use your information to provide services to us.
- •For legal reasons — if required by law, legal process, or to protect the rights, safety, or property of NexGrant, our users, or others.
- •In a business transfer — if we’re involved in a merger, acquisition, or sale of assets, your information may be transferred, subject to this policy.
- •With your direction — anywhere else you ask us to send it.
5. Artificial intelligence and your content
NexGrant uses AI systems to draft, check, and assemble grant application packages. Your organizational information and application content are processed by these systems, including third-party AI providers acting as our service providers, in order to produce your applications.
You remain responsible for the accuracy of information you provide and for reviewing your application before submission. We assemble and check the package; you approve it.
6. Data retention
We keep your information for as long as your account is active and as needed to provide the service, then for as long as necessary to comply with legal obligations, resolve disputes, maintain records of submitted applications, and enforce our agreements. Grant applications and related records may need to be retained for extended periods to meet federal recordkeeping expectations.
7. Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure, however, and we can’t guarantee absolute security. If you believe your account or data has been compromised, contact us immediately through our contact page.
8. Cookies and analytics
We use cookies and similar technologies to operate our website, remember your preferences, and understand how our site is used. You can control cookies through your browser settings; disabling some cookies may affect how the site functions. We may use analytics providers to help us understand site usage.
9. Your choices and rights
- •Marketing emails — you can unsubscribe at any time using the link in any marketing email. We’ll still send necessary service messages about your account or applications.
- •Access, correction, and deletion — you can request a copy of your information, ask us to correct it, or request deletion, subject to legal and recordkeeping limits (for example, records tied to submitted federal applications).
- •State privacy rights — depending on where you live, you may have additional rights under applicable state privacy laws, including the right to know, delete, correct, and opt out of certain processing. We do not sell personal information or share it for cross-context behavioral advertising.
To exercise any of these, reach us through our contact page. We may need to verify your identity before acting on a request.
10. Children’s privacy
Our services are intended for organizations and the adults who represent them. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we’ll delete it.
11. Changes to this policy
We may update this policy from time to time. When we do, we’ll revise the “last updated” date above, and if the changes are significant we’ll provide a more prominent notice. Continued use of our services after an update means you accept the revised policy.
12. Contact us
